This policy explains what personal data we collect when you use checkvietnamvisastatus.com, contact us or order a visa service, why we use it, who we share it with and what your rights are.
1. Who is responsible
The controller of your personal data is LLC 1111, 8A/64 Cam Lo Street, Hong Bang Ward, Haiphong City, Vietnam. For anything about your data, write to [email protected].
2. What we collect
- When you browse the site: technical data your browser sends (IP address, browser type, the page requested), which our hosting and security providers process to deliver and protect the site; and aggregated, cookie-free visit statistics (Cloudflare Web Analytics).
- When you use the contact form: your name, e-mail address, phone number, your message and the page you sent it from.
- When you e-mail us: your e-mail address and name, your message and any attachments.
- When you use the live chat: the name, e-mail address and phone number you enter, the messages, the pages of this site you viewed, and your approximate location (city and country) and time zone, derived from your connection and device. Your IP address itself is not stored with the conversation.
- When you contact us on WhatsApp: your phone number, profile name and messages.
- When you order a visa service (through the application form served from vietnamvisahelp.com, also on our /apply/ page): your passport details and passport scan, photo, date of birth, nationality, contact details, travel dates, flight and entry port, and payment details. Card payments are handled by Stripe; we never see your full card number.
3. Why we use it, and on what legal basis
- To answer your questions and messages — at your request, before and during a contract, and in our legitimate interest in helping visitors.
- To prepare and submit your visa application and keep you informed — to perform our contract with you.
- To take payments, keep accounting records and meet legal obligations — legal obligation.
- To keep the site and our services secure and prevent abuse — legitimate interest.
- To understand how the site is used, in aggregated form — legitimate interest.
We do not sell your personal data and we do not use it for automated decisions that have legal or similarly significant effects on you.
4. Who we share it with
We share personal data only as far as each of them needs it to provide their part of the service:
- The Vietnam Immigration Department, and our licensed processing partner in Vietnam who submits applications — to process your visa.
- Hosting, security and delivery: Cloudflare (network, security, statistics), our web hosting provider, Vercel and Supabase (the application form and its database).
- Communication: BlissfulBookings.com (our live chat and support inbox), Google Workspace (our mailboxes), Resend (sending our e-mails), Meta/WhatsApp (when you message us on WhatsApp).
- AI services: OpenAI and Anthropic process chat and e-mail messages to help us draft, answer and translate replies, and Google (Gemini, Cloud Vision) reads passport and photo uploads in the application form to check them and fill in your details.
- Payments: Stripe.
- Maps: the map on our contact page is loaded from Google Maps, so Google receives your IP address when you view that page and may set its own cookies.
- Advertising measurement: the application form at vietnamvisahelp.com uses the Meta Pixel to measure the results of our advertising.
We may also disclose data where the law requires it, or to establish or defend legal claims.
5. International transfers
Several of these providers process data outside Vietnam and outside your own country, including in the United States, the European Union, Singapore and Japan. Where the law requires it we rely on appropriate safeguards, such as the European Commission’s standard contractual clauses.
6. How long we keep it
- Messages (e-mail, chat, contact form, WhatsApp): up to 24 months after the last message, so we can help you again if you come back.
- Application data and documents: for as long as needed to complete your application, handle follow-up questions and meet legal obligations. You can ask us to delete them at any time after your application is completed.
- Payment and accounting records: for the period required by tax and accounting law.
7. Your rights
You can ask us for access to your data, to correct it, to delete it, to restrict or object to its use, and to receive it in a portable format. Where we rely on your consent you can withdraw it at any time. Write to [email protected]; we answer within one month.
You also have the right to complain to a data protection authority — in the EU the authority in your country, in the UK the Information Commissioner’s Office (ICO), and in Vietnam the Ministry of Public Security.
8. Cookies and similar technologies
- Consent cookie: remembers your cookie choice.
- Live chat: stores a conversation key in your browser so your chat continues when you change page.
- Cloudflare: security cookies where needed to protect the site; the statistics are cookie-free.
- Google Maps (contact page) and the application form from vietnamvisahelp.com (/apply/ page) may set their own cookies, as described above.
We do not use advertising cookies on checkvietnamvisastatus.com itself.
9. Children
Our services are for adults. Visa applications for children are made by a parent or guardian, who provides the child’s data.
10. Security
We use technical and organisational measures appropriate to the risk, including encrypted connections (HTTPS) and access restricted to the people who need the data to do their work. No system is completely secure; if a breach affects your data we will tell you and the authorities as the law requires.
11. Changes
We will update this policy when our services or the law change. The date at the top shows the current version.
